Sales Coordinator

Job Summary

We are seeking a meticulous and adaptable Sales Coordinator to manage our purchase orders and invoices. Located in London Ontario, in this role, you will verify customer information and pricing, issue invoices, relay order instructions, and complete monthly sales reports.

Duties and Responsibilities

  • Responsible for responding to customers requests and inquiries in a timely manner and required to understand customer needs and promote and up-sell products.
  • Develop and apply a high level of product and application knowledge
  • Resolve customer issues in a prompt and tactful manner.
  • Process finished quotes and send to customers – follow up on outstanding quotes.
  • Enter and follow up on all designated ‘client’ orders, reviewing open orders, backorders, order maintenance, RMA’s, and Credits
  • Enter quote requests; work with stock inventory and/or supplier partners to provide the best solution to customers.
  • Manage client expectations and provide alternative solutions when necessary when there are stock outages, timing concerns or pricing issues.
  • Notify “clients “of any upcoming price increases (30 days’ notice), update price files on effective dates and work with sales reps on exceptions.
  • Enter sample requests and submit inventory adjustment forms when necessary.
  • Contact suppliers for sample requests – requested not to pull from stock.
  • Reporting; use available reporting to review ordering patterns and prevent/follow up on lost or declining business.
  • Other duties as assigned.

Job Qualifications

  • Exhibits sound judgement and the ability to make reasonable decisions in the absence of direction.
  • Strong working knowledge of team’s client base
  • Well-versed in our products and supplier/vendor base
  • Experience with supplier software systems (Visual/CRM/P21)
  • Customer service focused and proactive when situations arise
  • Strong attention to detail and focusses on accuracy
  • Ability to problem solve and think analytically
  • Strong Organization and Multi-Tasking Skills (with ability to effectively prioritize and follow up)
  • Advanced Computer Skills (especially Microsoft Office 365 Outlook and Excel)
  • Effective interpersonal, time management and communication skills(both verbal and written)
  • Ability to take initiative and own an autonomous work ethic
  • Ability to build a rapport and relationship with customers over the phone
  • Able to generate revenue and create new business while maintaining existing relationships
  • Post-Secondary education preferred, in business or sales
  • Minimum 2 years’ experience in a sales role
